EarthFest is looking for vendors that offer high quality, handmade, or unique products. EarthFest is not a craft fair, but rather an event which seeks to educate the community about sustainability topics and inspire the community to be conscientious members. Vendors who feel they have integrated these values into their business and/or product lines are encouraged to apply. All vendor applications will be reviewed to ensure your product or service is the right fit for the event's theme. If you were selected as a vendor a previous year, it does not guarantee your acceptance for this current year. For example, the date that payment is received will determine vendor sequence of acceptance.
An EarthFest representative will contact you following application reviews. Fees will be due upon approval.
FEES: $25.00 for one 10 x10 space, limited to two spaces per vendor.
*Non-Profit/educational organizations are not required to pay a vendor fee.
Payments may be made by check, payable to “Earthfest” and mailed to the address below. You can also make arrangements to submit the payment in person by contacting an EarthFest representative via the information listed below.
BOOTH SIZE/ LOCATION: You are not guaranteed the same booth location from years past. Special accommodations may be made for health and other reasons with the coordinator’s permission. The overall appearance and presentation of your booth is critical to the overall feeling of the event and to your retail success. We want to ensure that everyone has the best possible experience. The event staff determines booth placement. Your booth must be neat, attractive and well-maintained. Signage with visible prices is required. Shady spaces will be limited. Be prepared for all weather conditions.
TIME COMMITMENTS: The event will run from 10 am to 8 pm, but vendors will only be required to stay until 5 pm. EarthFest staff will be on site by 8:00 am. ALL VENDORS MUST BE SET UP BY 10:00AM – NO EXCEPTIONS. All vendors are required to stay until 5pm , but may stay up until the closure of the event at 8pm if they so choose.
VEHICLE ENTRY: You may drive your vehicle in and out of the park using ONLY the southeast corner of Fountain Park (corner of 9th and Ontario Ave.). Vehicles must be off of the park grounds by 9:00am Saturday morning. We encourage you to park your vehicle a fair distance from the park after you are setup, to ensure that your prospective customers are given the prime parking opportunities (this is good for your business!) Paid parking is available on a first come first serve basis at Fountain Park Methodist Church, and can be secured at the church office Monday - Friday 9 am to noon. Vendors must park in Municipal Public lots. You may also park on Ontario between 9th and 10th Street.
: We are committed to minimizing the impact of the event on the environment. We encourage you to do your part and help us maintain our reputation as a “green” event. We will provide appropriate refuse and recycling bins for glass, aluminum, approved plastics, and cardboard in the vendor area, so please use them. All vendors will be required to thoroughly clean up their area on the festival grounds. Failure to do so will result in a removal fee being charged to them and potential ineligibility to participate in future events.
VENDORS ARE ACCEPTED ON A FIRST COME, FIRST SERVE BASIS: Vendor’s business and/or product line must correlate with the overall sustainability theme of this festival; those meeting these criteria will be given priority during vendor selection. There are a limited number of spaces available.
EARTHFEST WILL ACCEPT SUBMISSIONS FROM: National companies such as Avon, Mary Kay, etc., individual political candidates, political organizations, or any vendor we deem unsuitable for a family and earth-friendly event.
: EarthFest is not responsible for lost, broken or stolen merchandise. Participation in EarthFest does not guarantee sales. You will collect for your own sales, so please be prepared with enough change. ***Booth fees are non-refundable***
CANCELLATION BY VENDORS: In the event of cancellation, written notice of a vendor’s decision not to participate must be received within the 10 days of notification of acceptance. Any vendor who fails to give written notice of their decision to cancel prior to this time, or fails to show up for the festival, will be charged the full booth fee.

NOTE: When you sign this Agreement, you and your organization will hold harmless EarthFest and
all of its officers, employees and agents, against any and all liability claims, costs of whatever kind and
nature, for injury to or death of any person or persons and for loss and damage to any property (City or
other) occurring in connection with or in any way incident during the EarthFest event.
